International Mobility Coordinators and Erasmus Flow Managers
As indicated in the SA resolution of 9/6/2014, many degree programmes have supported the lecturer in charge of the flow with one or more professors delegated to mobility with the aim of linking issues related to international mobility to the degree course of affiliation of students.
This choice has become necessary with the new Erasmus+ Study Programme since only one signature is required in the Learning Agreement by the academic figure entitled to approve the activity that is carried out abroad by students.

It is possible to activate a new Erasmus+ Study mobility agreement or request the modification of an existing agreement, by following the instructions on the appropriate page.
The activation of an inter-institutional Erasmus+ Study mobility agreement with non-European universities (KA107) involves a specific request from the interested professors to the International Office (for further details, write to: international.projects@unipd.it). The timing is subject, from year to year, to the programming of the Erasmus+ Programme. On the basis of the applications received and selected, the International Office draws up the University's official application, which is then sent to the National Agency for evaluation. It is possible to activate these inter-institutional agreements only with the approval of the National Agency for Collaborations and Flows proposed by the University.
The lecturer in charge of the flow is the local "tutor" for incoming students who wish to carry out a study stay at our University and has the task of:
- maintain and maintain liaison with foreign universities, acting in concert with foreign departmental coordinators;
- be the reference for students interested in the exchange with the institutions with which the lecturer has established an agreement, in particular by guiding students for the choice of teaching activity to be done abroad
- be the local tutor for incoming students who wish to spend a period of study at our University
- assign the scores for the formulation of the rankings of students who apply with the appropriate call, where required by the regulations of the individual Schools or Departments.
It is also in charge of:
- forward to the competent offices any information relating to the arrival of incoming mobility students received from the foreign university
- Check the availability of places for laboratory research.
The lecturer in charge of international mobility delegated by the Degree Programme Council has the task of:
- verify and approve (or reject) the Learning Agreement proposal presented by the student before departure with particular attention to the activity that the student proposes to support in Padova (Table B of the Learning Agreement before mobility);
- verify and approve (or reject) the proposed changes to the Learning Agreement that the student submits during the stay abroad (Learning Agreement during mobility);
- verify that in the case of traineeship activities, study activities are always also provided, otherwise Erasmus + Study mobility cannot be recognized;
- verify, during the application phase, that in the case of a dissertation job, the student has the letter of approval from the lecturer supervisor of Padova or the dissertation Commission and that, before departure, the student has identified a foreign supervisor;
- provide for the recognition and registration of the activity carried out abroad in Uniweb.
The new Learning Agreement consists of four parts that are progressively completed during the various phases of the mobility (before, during, after):
- Learning Agreement before mobility: this is the Learning Agreement that must be presented before departure. Both Tables A and B must be completed. In the case of dissertation work and / or traineeship it is also necessary to attach the appropriate letter;
- Changes Learning Agreement during mobility: this is the modification to the first Learning agreement;
- Transcript of Records after mobility: certificate of exams taken abroad and/or certification of dissertation or traineeship issued by the foreign university;
- Recognition outcomes after mobility: certification of the University of Padova on the recognition of the activity carried out abroad.
Conversion of grades: University table and ECTS tables
The student must prepare a Learning agreement before mobility before departure which must be approved by both the University of Padova and the foreign university.
During the stay, the student can make changes with the Learning agreement during mobility; This document must also be approved by both universities.
All activities to be carried out abroad must be agreed in advance in order to be recognized upon return.
In the preparation of the Learning agreement the student must indicate the activity equal to about 30 credits per semester and the dissertation work must be accompanied by the letter of approval of the supervisor or the dissertation commission of Padova.
In the compilation of the Learning agreement the student must indicate a package of credits to be carried out abroad and in correspondence a package of activities that are not taken in Padova because they will be replaced by the activity carried out abroad.
In some cases, the redefined Learning Agreement must be filled in after the student's return to Italy.
For all students in mobility with the Erasmus+ study syllabus, the mandatory compilation of the Learning agreement in Uniweb is mandatory; Reference professors can proceed with the approval or rejection of the Learning Agreement by connecting to their personal page in Uniweb.
The windows for students to fill in the Learning Agreement in Uniweb are:
- fentro June 15 for students leaving in the first semester
- by 15 October for students leaving in the second semester
Approval by the lecturer must take place within five weeks of submission. Consult the student manual for the compilation of the Learning Agreement.
The recognition is carried out by the Director of the Council of his/her Degree Programme (or delegate) or by the Erasmus contact person or by the flow manager, based on the indications provided by the Mobility Desk at Schools/Departments in Uniweb.
The recognition of the activity must take place within 5 weeks from when the student submits the following documentation in Uniweb:
- copy of the Transcript of Records (ToR), i.e. the exams taken abroad, issued by the Mobility Sector of Padova in protected PDF format, to be attached to the Learning Agreement in Uniweb
- in the case of dissertation work: certificate from the foreign tutor/supervisor and proposal for recognition credits made by the supervisor or dissertation commission of Padova (only if the lecturer supervisor is different from the lecturer making the recognition)
- "Summary" of the last Learning Agreement approved in Uniweb.
It is recommended to check during the recognition phase that in the Learning Agreement approved in Uniweb there is only the successfully passed activity contained in the Transcript of Records.
Please note that it is possible to round up only 1 credit for every 30 acquired by the student (i.e.: for example, 23 ECTS can be recognized for 24 university credits (ECTS credits)) and that in foreign activities the marks in thirtieths must always be entered, while in Padova activities that are not taken, the weighted average with two decimal places is applied.
For the conversion of grades it is necessary to use the University table where the partner does not provide references to the ECTS scale and the ECTS tables that are published on the following page
The lecturer in charge of flow is responsible for:
- forward to the competent offices any information relating to the arrival of incoming mobile students received from the foreign university, the procedures for students are available on the Erasmus+ for study page .
- view the Learning Agreements of incoming students and check the quality of the courses, the compatibility of schedules, semesters, etc.
- Check the availability of places for laboratory research.
The course lecturer regularly registers on Uniweb the exam taken by the incoming student indicating the grade obtained. The exam report will allow the updating of the visiting student's career.
Any other activities carried out by the student within the School/Department during his/her stay (workshops, seminars, dissertation projects, research ...) can be documented through statements by the teachers in charge of supervising the work carried out.
