The indications reported concern the activation of Erasmus+ agreements with European higher education institutions for the following actions:

  • Study (student mobility for study activities, i.e. courses with exams, and possibly traineeship and dissertation)
  • Teaching (Teaching Staff Mobility).

An Erasmus+ agreement with European institutions can only be finalized with a higher education institution in the European area with an ECHE (Erasmus Charter for Higher Education), i.e. deemed eligible by the European Commission for Erasmus+ Study activities (in-depth analysis).

New agreements with European Universities must be prepared in time to be included in the Erasmus+ call, therefore requests for activation of new agreements and changes to existing agreements must be submitted in advance of the publication of the call.

Request for activation of a new Erasmus+ agreement KA131

The activation of a new bilateral agreement within the Erasmus+ syllabus takes place at the request of a structured lecturer of the University who will be the teaching referent (flow manager).
The support requested from the flow manager concerns both outgoing and incoming students, if provided for by the agreement.
The activation of the agreement presupposes a preparatory phase of preliminary contacts between the Padova lecturer and an Erasmus+ lecturer and/or coordinator of the foreign institution.
The managers involved must actively commit themselves to respecting the conditions of the agreement stipulated and to follow the didactic aspects of the exchange, promoting an active and balanced exchange of both incoming and outgoing students.

For each new agreement, a bilateral agreement must be signed: the proposing lecturer must fill in the appropriate online request form in which he will indicate the data to be included in the agreement and other useful information during the publication of the call:

  • the maximum number of mobile students
  • the duration of the mobility (one semester or the whole academic year)
  • the cycle of studies (three-year, master's, PhD)
  • the type of activity agreed with the foreign campus (exams and / or dissertation)
  • the degree courses accessible to exchange students, verifying if there are any constraints or limitations (for example the obligation to choose exams only in the Faculty / Department with which the agreement is stipulated).
  • the degree programmes to which the exchange is addressed identified on the basis of the degree courses at the foreign campus

The Mobility Sector will then contact the foreign campuses for the signing of the agreement through the EWP (Erasmus Without Paper) digital platform; It is therefore advisable to ensure that the contact person at the foreign campus informs its offices of the intention to activate the agreement.
Only agreements approved and digitally signed on the EWP platform by October 2023 can be included in the Erasmus+ 2024/2025 call.

Traineeship under the Study action (Student Mobility for Studies)
A possible traineeship activity is allowed only if provided for in the Learning Agreement and must be carried out exclusively in the following ways:
- During the period it is also mandatory to carry out certified teaching activities (eg an exam, or dissertation work) of at least one month.
- The two activities (study + traineeship) must be carried out consecutively.
- The traineeship must be carried out under the supervision of the same Institute where the student will carry out the study period.
The monthly contribution will be equal to that provided for mobility for study purposes.
The total duration of this combined mobility period is a minimum of 3 months and a maximum of 12 months, so it is possible, for example, to combine one month of traineeship with two months of study or vice versa.

Thesis within the SMS-Studio (Student Mobility for Studies) action
The preparation of the dissertation within Erasmus+ must be agreed in advance by the lecturer in charge of the flow who has the task of identifying a tutor at the foreign campus for the exchange student.
The dissertation activity must also be indicated in the Learning Agreement and approved by the student's course of study.

Teachers who wish to activate Erasmus+ agreements for dissertation and / or traineeship, must check if the foreign academic structure agrees this type of activity within an agreement for action SMS-Studio (Erasmus Student Mobility for Studies). If the foreign campus should instead consider these activities (especially when they involve laboratories) as a "Student Mobility for Traineeships" action, the lecturer is invited to contact the Career Service Office of Padova for the activation of a specific agreement.
