After the mobility

At the end of the mobility, students must comply with the procedures outlined in this page.

  1. Upload the final Learning Agreement and book an appointment

Students (including thesis-writers and doctorate students) should book an appointment with the International Office (Palazzo Bo) to hand in the end-of-mobility documents within 10 days of the departure date set out in the Attendance Certificate, even if the transcript of records has not been issued by the Host Institution yet.

When they book the appointment they should also upload the final Learning Agreement, counter-signed, if it has been changed during the mobility.

Note: Modification refers only to when students add new courses not originally provided in the first LA. For example, if you decided not to attend a class/sit an exam but did not substitute it with another, it is not necessary to update the LA.

All succesful exams included in the Transcript of Records (ToR) must also be presented in the final LA, otherwise they will not be recognised.

Students who can’t hand in the documents within 10 days are required to send them to erasmus@unipd.it prior to their appointment, with the understanding that it is possible to proceed with recognising the activities carried out abroad only with the acquisition of the original documents.

Attention! Students that intend to graduate straight after the period of Erasmus must send all the end of mobility documents at least 30 days before the start of the graduation session.

It is possible to delegate someone to hand in the documents.


  2. Sit the online OLS end-of-mobility test

Students must sit the OLS test at the end of the mobility period. The credentials to access the OLS platform are the same used for the first test. Students receive a notification email directly from the OLS platform when the test is available to sit, based on the end of mobility dates they provided when they first accessed the platform which can be checked at any time.

  3. Complete the online EU survey

After having sent the end of mobility documents to the International Office, students will receive an email to their university account (@studenti.unipd.it) with the link and password needed in order to complete the online EU survey, which is the end-of-mobility questionnaire prepared by the European Commission.

In the event that the survey is not completed within 30 days of the receipt of the email the student will have to return the entire sum of that already received.

The survey could be divided in two sections, in the event that the recocognition procedure has not yet been completed.

  4. Recognition of the activities carried out abroad

To proceed with the recognition of the activities carried out abroad it is necessary:

  • to have sent all original end-of-mobility documents to the International Office (Palazzo Bo)
  • to have received information from your respective International/Erasmus Office at School/Department on how to gain recognition for the activities and the protected PDF of your Transcript of Records, available for download on Uniweb (Section Mobilità Internazionale > Compilazione Learning Agreement> Transcript of Records)

It is only possible to upload the Transcript of Records if the Learning Agreement has been submitted or approved.

Attention! The final Learning Agreement approved on Uniweb must contain all the activities included in the Transcript of Records / Short Evaluation Report for Thesis Work and the description of the activities must be identical.

The recognition of the activities is carried out by the Academic Coordinator or the Head of the Degree Course or their delegate, based on the indications made by the International/Erasmus Office at the School/Department.

The Erasmus+ for studies programme requires that the entire recognition procedure must be completed by the relevant offices within five weeks of when the student receives the documentation. As a result, students are required to submit the necessary documentation within 15 days of receipt (excepting specific situations such as: conjunction with periods of holidays and festivities).

For the mobility 2018/19, the final deadline for all students is 31st October 2019 (the activities carried out abroad must be recorded in Uniweb). Students who receive additional funding (MIUR, Veneto Region, etc) should pay particular attention to this deadline as if not met, they will have to reimburse any payments.
