Services

At the end of your stay, you must follow the procedures described on this page.

You must submit your end-of-stay documents in the following ways:

  • Attendance Certificate and any last LA/DLA complete with signatures must be uploaded to the Mobility Online platform within ten days of the date of departure established in the Attendance Certificate by the host University, even if the Transcript of Records is not yet available.
  • Transcript of Records, any letters of dissertation and certificates of language exams must be sent by the host university through their institutional email directly to erasmus@unipd.it (not through the student).

If you are an undergraduate or graduating student, all documents must be submitted at least 30 days before the start of the graduation session.

In order to include the credits accrued in mobility in the calculation for merit for the Accommodation Competition, all end-of-stay documents, including the complete and final Transcript of Records, must be delivered in the manner described above no later than Thursday 25 July 2025. Considering the summer period, it will be your own to make sure in advance that the lecturer of reference for the recognition is available to enter the converted votes for the registration of the activities in time for the registration of the activities according to the deadlines established by the Accommodation Competition.

Only after uploading or sending the end-of-stay documents and filling in the EU Survey narrative report, it is possible to receive the balance of the scholarship and any additions.

After submitting the end-of-stay documents according to the procedures described in the first paragraph (Delivering end-of-stay documents), you will receive a communication to the institutional e-mail address (@studenti.unipd.it) with the link and access keys for the online compilation of the EU Survey Narrative Report, i.e. the end-of-stay questionnaire prepared by the European Commission. In case of failure to fill in the narrative report within 30 days of communication, it will be necessary to return the full amount of the sums already received.

The Narrative Report could be divided into two parts in the event that, at the time of compilation, the recognition of the activities carried out abroad has not yet been carried out.

To proceed with the recognition of the activity carried out abroad it is necessary to:

  • have handed in all the documents at the end of the stay (see the paragraph Delivering the documents at the end of the stay)
  • have received from the Mobility desk of their School/Department information on how to proceed to obtain the recognition and the protected PDF of the Transcript of Records to be uploaded to Uniweb (International Mobility section > Transcript of records in correspondence with which a red dot appears).

You can upload the Transcript of Records only if the Learning Agreement is in Submitted or Approved status

Attention. The last Learning agreement approved in Uniweb must contain all the activities present in the Transcript of Records / Short Evaluation Report for Thesis Work and the description of the activities must be identical.

The recognition is carried out by the President of the Council of his/her degree course (or delegate) or by the Erasmus contact person or by the flow manager, based on the indications provided by the Mobility Desk at Schools / Departments.

The Erasmus+ Study Programme establishes the following timelines for recognition:

  • the documentation necessary for recognition must be presented by the student within 15 days of receipt of the same (except for specific situations such as: concomitance with periods of vacation or holidays) and in any case no later than the month of December;
  • The recognition procedure must be completed by the competent bodies within 5 weeks of receipt of the documentation by the student.

For students in mobility in the A.Y. 2024/2025, the recognition of the activity must be carried out no later than 31 October 2025 (N.B.: activities carried out abroad must be registered in Uniweb). Students who are beneficiaries of integrations to the Erasmus scholarship (MIUR, Veneto Region or other funds) who do not meet this deadline will have to return all the integrations already received.

You can consult the ECTS tables for the conversion of grades.
