How to submit and manage an Erasmus+ project
Every year, in the period October/November, the European Commission publishes a call for proposals under the Erasmus+ syllabus (Call for Proposals), which contains information on the budget available for each Action of the syllabus and the deadlines for the submission of the application. Also in the autumn, the Programme Guide is updated, providing detailed information on all activities that can be funded under Erasmus+.
The International Relations Area – Projects and Partnerships Sector informs the university community of the publication of the Call and organizes information sessions to present funding opportunities. The Guide to Europlanning services is also available at the bottom of the page.
Here are some tips for a successful Erasmus+ project proposal.
As a COORDINATOR
- Contact the International Relations Area – Projects and Partnerships Sector by 15 December of each year, so that we can arrange a meeting to prepare the necessary documents for the application and receive dedicated support, where required.
- Have the Declaration of Honour signed by the Director of the Department or Centre of affiliation of the proposing lecturer. The application is submitted through the Funding & Tender Opportunities Portal (FTOP), selecting the chosen project type.
As a PARTNER
- Contact the International Relations Area – Projects and Partnerships Sector at least 30 days before the deadline of the call, in order to obtain the necessary information for participation in the project (Partner info sheet, PIC and OID number , list of projects, etc.)
- For the type of project proposals that require it, have the Mandate or equivalent documents signed by the Director of the Department or Center of affiliation of the proposing lecturer. Should the coordinator request the Rector's signature, contact the International Relations Area – Projects and Partnerships Sector, attaching the Resolution of the Department Council authorizing participation.
The submission of the application via E-Form or other procedure provided for by the Erasmus+ call is the responsibility of the proposing structure.
After submission, it is necessary to forward the summary of the project, the list of partners and the proposed budget (with evidence also of the share allocated to UNIPD) to the International Relations Area – Projects and Partnerships Sector so that the University's participation in the Erasmus+ Program is monitored.
The management of Erasmus+ projects funded by the European Commission or by the Erasmus+ National Agency is delegated to the proposing structure (Department / Centre / Office).
The International Relations Area - Projects & Partnerships Sector provides technical advice on certain aspects related to project management, in particular:
- Technical consultancy for the start-up of funded projects
- Support in the drafting/revision of the Consortium Agreement, time-sheets, etc.
- Contacts with the European Commission and with the coordinating body for specific issues
